How long does it take to go live?
Most single-site clinics go live in four weeks. Two weeks for migration, one week of training on real cases, and a go-live week with our team on site or on call.
Do we need to buy new hardware?
No. ConceiveX runs in the browser on the computers and tablets you already have. We recommend a barcode scanner and a label printer for the embryology lab.
Can we start with only some modules?
Yes. Start with patient records and the calendar, then switch on cycle tracking, the lab, billing or the patient app when your team is ready.
Is training included?
Yes. Every plan includes role-by-role training for doctors, embryologists, nurses, front desk and billing, plus step-by-step videos.
Can we keep using our current lab equipment?
Yes. ConceiveX works with the incubators, microscopes and analysers you already have, and we connect label printers and barcode scanners during setup.
Can we set it up for more than one centre?
Yes. Each centre gets its own calendar, lab and billing, and head office sees every centre on one dashboard.
How is ConceiveX priced?
By licence per month, not per cycle or per patient. You pay for the people who log in, and every plan includes updates and secure hosting.
Is there a free trial?
Yes. A 14-day free trial with your own sample data. No credit card is needed.
Can we change plans later?
Yes. Move up or down a plan at any time. The change applies from your next billing month.
Do you offer annual billing?
Yes. Annual billing saves around 12 percent compared with monthly.
Are there setup or migration fees?
No. Setup, data migration and initial training are included in every plan, whatever the size of your clinic.
Is the patient app charged separately?
No. The patient app comes with every plan, so couples can see appointments, reports and payments at no extra cost.
Can you move our old records across?
Yes. We migrate patient files, past cycles, lab registers, cryo inventory and billing history from spreadsheets, paper scans or your current software.
What happens to our paper files?
We scan and index them against each couple, so the history sits on the same record as new visits.
Who owns our data?
You do. You can export everything at any time in standard formats, and we delete it on request when you leave.
How long does migration take?
Most clinics are migrated in about two weeks. We move active couples first so the team can work on ConceiveX while older files follow.
Can you import from Excel sheets?
Yes. We map your columns to ConceiveX fields, check a sample with your team and then import the full sheet.
Will we lose access while you migrate?
No. Your current system stays in use until go-live day, so clinic work carries on as normal.
Where is our data stored?
On secure servers in India, encrypted at rest and in transit, with daily backups.
Does ConceiveX follow the ART Act?
Yes. Consents, donor registers, cycle outcomes and embryo disposition follow the ART Act, and every register exports in one action.
Is ConceiveX linked with ABHA?
Yes. Couples can be registered with their health numbers, and records follow the national digital health standards.
Can we control who sees what?
Yes. Every role sees only its own part of the record, and every read is logged.
Do you keep backups of our data?
Yes. Your data is backed up every day to a separate secure location in India and can be restored quickly if needed.
Who at ConceiveX can see patient records?
Only named support staff, and only when you grant time-limited access for a specific issue. Every access is logged.
What support hours do you offer?
Chat and email during clinic hours, and a 7-day support for anything that stops a procedure.
Is support included in the price?
Yes. Every plan includes support, updates and new features.
Do you help with inspections?
Yes. Our compliance team can walk your staff through the registers an inspector will ask for.
How do we raise an urgent issue?
Call 7-day support. Anything that stops a procedure is treated as urgent and assigned to an engineer straight away.
Do you train new staff after go-live?
Yes. Book a role-based session for new doctors, embryologists or front desk staff at any time from the help centre.
Is there a dedicated account manager?
Larger plans include a named account manager who knows your clinic and runs a regular review with your team.

We stopped carrying files between the scan room, the lab and the front desk. Every scan, every dose, every payment is in the couple's record before they leave the building.

Our tank audit used to take a full Saturday. Now it is a report I print in the morning and check against the canisters before lunch.

For the first time I can open one screen on Monday morning and see how all seven centres did last week, without asking anyone for a file.

The Questions They Asked, Answered by Experience
We asked whether paper files could really go. Eighteen months in, every scan, dose and payment sits in the couple’s record before they leave the building.

Our question was whether a tank audit could ever be quick. It is now a report I print in the morning and check against the canisters before lunch.
